Compliance eLearning that is updated after a change in rules is far better than a module that was written for last year’s rules and is now suboptimal.
Identify the Affected Modules
Make a list of all modules that contain references to the rule, policy or legislation in question. This could include topics, keywords or even individual assessment questions. Identify those that will need to be updated in order to test the new rule position.
Prioritise Who Retrains First
Staff in roles that are directly affected by the change should receive the update first. This would include customer-facing staff, approved persons and other individuals with FCA approved persons status.
Version-Control Your Content
An archive of the previous version(s) of a module should be retained, clearly labelled with the date prior to which the content was valid (e.g. ‘Pre-[date] version’ versus ‘Current’).
Tell Learners What Has Changed
Just as a single sentence would be enough to outline the change to staff, in the communication for the updated e-learning module simply outline the change that has occurred and why they need to do the module again.
Record the Full Update Trail
Record the change date, the old and new versions of the module and the approval of the update by relevant individuals with the date stamp of each individual’s completion of updated training. A clear update process will help you prove to the regulators that you have implemented the changes and that staff have completed the updated training.
