Never Miss A Customer Again

Enquiries are the life blood of the trade and service business, but also where time dies a slow death. The cost of missing calls, taking a long time to respond and keeping shoddy diaries are not just the fact of poor customer service but also lost enterprise. The good news is there are a few simple systems you can put into place to make booking jobs much easier and more straightforward.

Step 1 - Tighten up your enquiry capture. No matter when anyone phones in, Facebook messages you or fills a form out: name, address / post code (always ask for this first), what’s wrong and are there any photos? Useful information also includes dates available to book and the urgency. This type of quick-hitting checklist is a load off the back and forth that often then occurs in email form. After that, reply promptly and clearly give them answers and choices. You tell the customer like it is (what needs to happen, etc…) Customers are not looking for you to talk their legs off, they want to know when you can come and what happens next. Employ a sort of templated response that acknowledges the initial inquiry, asks any necessary questions and presents two or three available slots for an appointment.

Then protect your diary. Block in travel time, leave yourself some extra for overruns and cluster work by area if you can.

Finally, confirm everything in writing. Acknowledge with a short message that has the date, time frame, type of service and customer needs. Setting a reminder for the day before to lower no-shows and cancellations.

Effective booking is not about being impersonal, it just means to make life less complicated for clients and your life easier so you can better offer great work.
